The question no ledger answers

Four systems. One spreadsheet holding them together.

Sales in one place, stock in another, payroll in a third, and a spreadsheet somebody maintains to make them agree. Every time a number is copied across it can go wrong, and the month-end answer always arrives too late to do anything about.

Built for this

Three problems your trade has that other businesses never do.

01

One database, not four and a spreadsheet

Every module writes to the same ledger and the same stock position. There is nothing to reconcile between them, because there is only one of them — and the hours spent making two reports agree stop being a job at all.

  • One version of a customer, a supplier and an item.
  • One login — people stop keeping private spreadsheets because the system answers them.
  • One bill, not four renewals in four different months.

One document, one journal, and nothing keyed twice. Every line opens the original it came from.

02

Know on the second, not the fifteenth

Stock, receivables and payables are current all month, so a decision on the tenth uses the tenth’s numbers. The close becomes a review of work already done rather than a fortnight of chasing what was never posted.

  • A close is a checklist, with an owner and a state on every step.
  • You can close and keep trading — the new month is already posting.
  • Year end stops being an event — twelve clean closes make it an afternoon.

The held lines stay out of the return. Claiming input tax without the official receipt is the first thing an examiner disallows.

03

It grows without a re-platform

The system you start on is the system at ten branches. A new line of business is a setting, a new company is a record, and there is no edition to upgrade to.

  • A branch is a record, not a rollout — no server, no installer, no visit.
  • Users cost nothing, so growing the team is never a license conversation.
  • Your history comes with you, still comparable, still opening its documents.

Four taps from a total to the piece of paper under it. Nothing on this site is a figure you have to take on trust.

What your people actually ask it, on an ordinary Tuesday.

Every answer comes from your own records, runs with the asking person’s permissions, and carries the rows it was read from.

  • “Which parts of the business actually make money?”
  • “What is stopping us closing this month?”
  • “Who owes us money and how overdue?”
  • “What should I order this week?”
  • “Does the stock ledger tie to the control account?”
  • “Send me the P&L as a file.”
It cannot make a number up

Every figure comes from a view over your own records — never the model’s arithmetic — and the answer carries the query and the row count behind it. No other ERP sold in the Philippines has this.

Questions

The ones this trade asks first.

We are not in any of your listed industries.

Then this is the page for you. The trade pages exist because some businesses have three problems nobody else has; the rest of the system is the same one underneath.

Can we start with accounting and add the rest later?

Yes. Turn on what you use and the rest is there the day you need it — switching a module on later is a setting, not a project with a quotation attached.

What if we acquire a company?

Add it as an entity. It keeps its own books and files its own returns, and the group consolidates with intercompany taken out.

How much of our current process has to change?

Less than you expect. Your documents are read rather than re-keyed, and the systems you already run are connected rather than replaced.

We have been burned before. What makes this different?

Almost everybody we talk to has a system project that died, and usually the same way: a long implementation, a partner who left, and a go-live date that kept moving. Ours is thirty days with the date written into the contract, we implement it ourselves rather than through a partner, and if thirty days is not realistic for your business we will say so before you sign rather than in month three.

What happens if it does not work out?

You keep everything. Your data comes out in open formats at any time and at no charge, and there is no license to unwind because we do not sell one. A system you cannot leave is a system you do not own.

Who actually answers when something breaks?

We do — one company, one number, and the people who wrote the code. There is no reseller in between and nobody to escalate to. Datche has been trading in Cebu since 1978 and our own business runs on this.

My people are not technical. Will they actually use it?

That is what the assistant is for. A supervisor asks it how to do something and it walks them through that screen in plain English, with their own permissions and their own data. Most of the training a system like this normally needs is somebody wanting to ask a question — and now there is something to ask.

How much of my staff’s time will this take?

Less than a migration, because there is no migration. Your opening balances go in, and after that the system reads the documents you already produce instead of asking your people to key them again. The week that costs you anything is week two, when your own day runs through it with us in the room.

What about BIR?

VAT, withholding, the 2307s, the summary lists and the books of account are the shape of the system rather than a module added at the end, and we supply the documentation your CAS registration needs. We will also tell you what adopting a computerized accounting system obliges you to do by 31 December 2026 — before you sign, not after.
