Stock that quietly ages out is money you already paid for. Senior and PWD discounts are money you are required to give and required to account for precisely. Between those two sits a margin most owners cannot see clearly — and a count that only tells them the truth once a quarter.
Three problems your trade has that other businesses never do.
Expiry you can see coming
Every batch carries its date from the moment it is received, and the horizon is visible months out rather than on the day. Slow stock at one branch and demand at another is a transfer, proposed while there is still shelf life to sell.
- Move it before you lose it — the system proposes the transfer.
- Buy to the date, not the discount — twelve months of stock is not a deal if four expire.
- Written off deliberately, with the approval and the reason attached.
Dispensed nearest-expiry first, and the horizon is months out rather than the day it lapses — stock you can still move is stock you have not written off.
The discounts, handled at the counter
Senior and PWD captured with the ID at the point of sale, applied once, and reported from the sales themselves — not reconstructed from a folder of receipt copies at the end of the month.
- One discount only, enforced, with the ID captured.
- The counter stays fast — doing it correctly should not slow a queue.
- Margin you can actually see, with discounted sales separated in reporting.
The statutory discounts are separated and evidenced, because they are what an examiner asks for and what you claim against.
Batch to branch to the person who received it
Backwards from anything dispensed to the lot it came from, and forwards from a lot to everywhere it went — the question a recall actually asks, answered while the caller is still on the line.
- Cold chain kept with the stock, so the record and the goods never travel separately.
- Regulated lines controlled, with the access and approvals to match.
- Licenses and renewals held with their dates, and a reminder while there is time.
A batch that is held cannot be picked, sold or transferred. The rule is in the database, so it holds whichever screen somebody tries.
What your people actually ask it, on an ordinary Tuesday.
Every answer comes from your own records, runs with the asking person’s permissions, and carries the rows it was read from.
- “What expires in the next sixty days?”
- “How much did we give in senior and PWD discounts?”

Every figure comes from a view over your own records — never the model’s arithmetic — and the answer carries the query and the row count behind it. No other ERP sold in the Philippines has this.

Does it handle the senior and PWD rules correctly?
Yes, and the rules are held centrally and updated for every client at once — so nobody is running last year’s version at the counter. The report your accountant files from is produced from the sales themselves.
Can we transfer near-expiry stock between branches?
Yes, and the system proposes it: slow stock at one branch against demand at another is a transfer while there is still shelf life to sell, not a write-off later.
How fast is a recall?
Both directions, while the caller is on the line — from a lot to every branch and person that received it, or backwards from a dispensed item to the lot.
What about cold chain?
Temperature logs attach to the batch they belong to, so the record and the goods never travel separately.
We have been burned before. What makes this different?
Almost everybody we talk to has a system project that died, and usually the same way: a long implementation, a partner who left, and a go-live date that kept moving. Ours is thirty days with the date written into the contract, we implement it ourselves rather than through a partner, and if thirty days is not realistic for your business we will say so before you sign rather than in month three.
What happens if it does not work out?
You keep everything. Your data comes out in open formats at any time and at no charge, and there is no license to unwind because we do not sell one. A system you cannot leave is a system you do not own.
Who actually answers when something breaks?
We do — one company, one number, and the people who wrote the code. There is no reseller in between and nobody to escalate to. Datche has been trading in Cebu since 1978 and our own business runs on this.
My people are not technical. Will they actually use it?
That is what the assistant is for. A supervisor asks it how to do something and it walks them through that screen in plain English, with their own permissions and their own data. Most of the training a system like this normally needs is somebody wanting to ask a question — and now there is something to ask.
How much of my staff’s time will this take?
Less than a migration, because there is no migration. Your opening balances go in, and after that the system reads the documents you already produce instead of asking your people to key them again. The week that costs you anything is week two, when your own day runs through it with us in the room.
What about BIR?
VAT, withholding, the 2307s, the summary lists and the books of account are the shape of the system rather than a module added at the end, and we supply the documentation your CAS registration needs. We will also tell you what adopting a computerized accounting system obliges you to do by 31 December 2026 — before you sign, not after.
